What to Include in a Switchgear Accessories RFQ for Faster Technical Matching
Switchgear and substation accessory RFQs often take longer than simple commodity quotations because the product must match electrical ratings, mechanical dimensions, site conditions, documentation requirements, and packing rules. A short message such as "please quote switchgear accessories" is usually not enough for accurate selection.

1. Voltage class and system information
Start with the rated voltage or system voltage. For example, a project may involve 11kV, 24kV, 33kV, 36kV, 110kV, 132kV, or 145kV equipment. The accessory selection depends on insulation level, creepage distance, switching requirement, and system layout.
If the project is connected to a utility specification, include the relevant voltage and standard reference in the first RFQ message.
2. Product name and function
Switchgear accessories can include busbar parts, insulators, contact components, fuse switch parts, disconnector parts, grounding parts, operating mechanisms, cabinets accessories, and transformer station components. The buyer should describe the function, not only the name.
For example, "earthing switch for 145kV outdoor disconnector" is more useful than "switch accessory." Function tells the supplier how the part works inside the equipment.
3. Drawings, photos, or reference samples
For substation and switchgear projects, drawings can save days of back-and-forth communication. If available, send:
- General arrangement drawing
- Mounting hole dimensions
- Product photo
- Old part photo
- Nameplate photo
- Technical data sheet
- Required material or surface treatment

4. Standards and test requirements
Some buyers need IEC, utility, or project-specific requirements. Others need routine test reports, factory inspection, packing photos, or certificates. These should be mentioned early because they can affect cost, lead time, and product matching.

6. Site and environment
Outdoor substations, coastal areas, high altitude, industrial pollution, desert conditions, and humid environments can all influence product selection. For outdoor high-voltage accessories, pollution level and creepage distance may matter.
If the project location has special environmental conditions, include them in the RFQ.
7. Packing and export documents
For international orders, packing should protect the product and make site identification easy. Buyers may request wooden cases, carton labels, item codes, batch labels, photos before shipment, commercial invoice, packing list, certificate of origin, or other export documents.
Clear packing instructions are especially important when the shipment includes many small switchgear parts.
